Parties and Contacts

Most invoice issues start from incomplete supplier/customer data.

Keeping party records clean improves:

  • validation pass rates
  • dispatch success
  • reporting accuracy

For each party, confirm:

  • legal or trading name
  • tax identifier where applicable
  • email and phone
  • billing/registered address
  • payment account details (if needed)

Use a clear naming standard so teams can find the right party quickly.

Recommended format:

  • supplier: SUP-<CompanyName>
  • customer: CUS-<CompanyName>

Review party records weekly for:

  • duplicate entries
  • missing tax or address fields
  • outdated contact details

When onboarding many parties:

  • run imports in controlled batches
  • validate a sample before full import
  • assign one data owner for final review
  • creating duplicates instead of updating existing records
  • using placeholder emails/phones in production
  • skipping address normalization
